Shared Mailbox access

Access to Exchange (Outlook) mailboxes is managed through the Grouper Access Management application. This provides direct access to the mailbox, no separate password needed.

Manage mailbox access from the Grouper web interface:

  • Members: Wesleyan:app:Microsoft:Mailbox Resources:Members
    • This list has full mailbox access and sending permissions on the Exchange mailbox. This includes: modifying mailbox settings, and individual calendar sharing
  • Owners: Wesleyan:app:AMS:Resource Owner
    • Owners may be assigned from the 'Resource Accounts (shared logins/emails)' page linked from the Campus Applications bucket in WesPortal. Owners are automatically assigned as mailbox Members.
    • Owners may add and remove members to both the mailbox Members and Resource Account's Owners Grouper groups. Employees should add their colleagues as additional Owners for assisting with mailbox access control.

*Note: Members access changes take up to 30 minutes to take effect in Exchange Online.

Shared Calendar access

People with the Members group access (above Shared Mailbox access) already have full mailbox calendar permissions. This is for providing limited (e.g. view only) permissions to additional people.

  • From Outlook on the web, open the Sharing and permissions menu for the calendar you have access to.
  • From the popup dialog, enter the person's email address and the appropriate permission level. After clicking Share, the individual should receive an invitation to accept the sharing request.
